How to set up email in outlook — Outlook Needs the Manual Path
Outlook keeps asking for a password it already has, and you want the setup that stops it asking and keeps webmail in step with the desktop.
The short answer
Take the manual or advanced route and choose IMAP: Outlook's automatic setup looks for Microsoft services first and stumbles over a custom domain, which is where the repeating password prompt comes from. Enter mail.yourdomain.com on port 993 with SSL for incoming, the same host on 465 with SSL for outgoing, and the full email address as the username.
Then tick 'My outgoing server requires authentication' and reuse the incoming credentials. That is Outlook's version of the setting behind nearly every failure to send, and it is off by default often enough to be the first thing worth checking.

Desktop Outlook is the client most likely to fight you, and almost all of that fight is autodiscover. Declining it once at the start removes the whole problem.
Two things afterwards catch people out: the first sync on a mailbox with years of history takes real time, and Outlook's special folders need pointing at the server's own Sent and Deleted rather than local copies.
Decline autodiscover at the first screen
Outlook's setup wizard tries Microsoft 365 endpoints, then autodiscover records, then a series of guesses. On a domain hosted on cPanel none of those paths lead anywhere useful, and the failure mode is a credential prompt that reappears no matter what you type into it.
Choose the manual or advanced option and select IMAP as the account type. From that point you are supplying facts rather than letting the client search for them, and the rest of the setup is four fields.
The four values, copied not remembered
Incoming: mail.yourdomain.com, port 993, SSL. Outgoing: the same host, port 465, SSL. Username: the complete email address. Copy these from cPanel's connect-devices page, which is generated from your account rather than from documentation that may be a version behind.
Then find 'My outgoing server requires authentication' in the more-settings dialog and enable it, reusing the incoming credentials. Outlook hides that tick two dialogs deep, which is exactly why it is the most frequently missed setting in the whole procedure.
Let the first sync finish
A mailbox holding years of history takes time on the first download, and Outlook shows folders before it has filled them. Declaring mail missing during the initial sync is a common and understandable mistake — the stragglers usually arrive in the last few minutes of it.
If it stalls rather than progresses, check the mailbox size against the plan's storage and the local data file's size against your disk. A sync that stops at the same message every time is a message problem; a sync that slows steadily is usually a disk or quota problem.
Map Sent and Deleted to the server
Under Settings, then Folders, point Sent Items and Deleted Items at the server's own folders. Otherwise Outlook keeps its own local copies and webmail will disagree with the desktop about what was sent and what was thrown away — which is the disagreement people report as 'my sent mail is missing on my phone'.
Webmail is the canonical view. Whenever one client looks out of step with the others, open webmail first: it is reading the server directly, so whatever it shows is what actually exists.

Why does Outlook keep asking for a password that is correct?
Usually the username is not the full address, or a stale credential is cached, or autodiscover has tied itself to a Microsoft endpoint that will never accept it. Re-enter the credentials in account settings with the complete address as the username; if the prompt survives that, delete the account and add it again by the manual route.
Can the same mailbox run in Outlook, on a phone and in webmail at once?
Yes — that is exactly what IMAP exists for. Every client reflects the same server-side state, so a message read on the phone shows as read on the desktop. Webmail is the canonical view: when one client disagrees with the others, open webmail first, because it is reading the server directly.
What happens when the account outgrows its plan?
